1. Who we are
Blackreel Ltd (“Blackreel”, “we”, “us”) is a company registered in England and Wales (no. 15871651) of 167–169 Great Portland Street, London. We are the controller of the personal data described in this notice and are registered with the Information Commissioner’s Office (registration no. ZB907849). You can contact us about anything in this notice at info@blackreel.pro.
This notice applies to people who book a Blackreel experience (an “Experience”), people who take part in one, and the emergency contacts they give us. Section 10 covers visitors to our website.
2. What we collect
- Identity and contact details: name, date of birth, email address and phone number.
- Booking details: the Experience you are booked on, dates, requirements and payment records.
- Health information: any physical or psychological condition, injury, medication, allergy or dietary requirement relevant to your safe participation.
- Emergency contact: the name and phone number of the person you nominate.
- Recordings: photos, video and audio recorded during an Experience, including covertly and from equipment used during the Experience.
- Records: your signed waiver and any record of an incident involving you.
We collect this from you directly or, where someone has booked on your behalf, from that person. If you give us someone else’s details (for example, as a booker or an emergency contact), please let them know and point them to this notice.
3. Why we use it, and our legal basis
- To arrange and deliver your Experience. Where you booked, this is necessary for our contract with you. Where someone else booked, it is in our legitimate interests to deliver the Experience they arranged for you.
- To keep you safe. We use health information with your explicit consent, which you give when you sign the waiver. If you are unable to consent in an emergency, we may share it to protect your vital interests.
- To contact your emergency contact if needed. This is in our legitimate interests and, in an emergency, yours.
- To film the Experience for safety and to produce footage for the group. This is in our legitimate interests, as recording is part of the Experience.
- To publicise Blackreel. We only publish or share footage, images or testimonials in which you can be identified, or disclose that you took part, with your prior written consent.
- To send you updates about Blackreel. Only where you have agreed or have booked or enquired with us. You can opt out at any time.
- To meet legal obligations and to establish or defend legal claims, including keeping tax, accounting and insurance records, and retaining waivers, health information, emergency contacts and recordings as described in section 6. This is necessary to comply with the law and in our legitimate interests.
4. Who we share it with
We do not sell your personal data. We share it only as far as necessary with:
- our team, including staff, contractors, instructors and performers;
- suppliers who help deliver the Experience, such as venues, transport and activity providers;
- emergency services and medical providers, where needed for your safety;
- the person who booked the Experience and its other participants (footage only);
- our insurers and professional advisers;
- service providers who support our business, such as email, cloud storage, scheduling and video hosting; and
- authorities, where the law requires it.
5. International transfers
Some Experiences take place outside the UK, and some of our service providers are based abroad. Where we transfer personal data outside the UK, we rely on UK adequacy regulations (including the UK–US data bridge) or appropriate safeguards such as the ICO’s International Data Transfer Agreement. Contact us for details.
6. How long we keep it
- Health information and emergency contacts: 6 years after the Experience, kept with your waiver, as they may be needed to establish or defend legal claims. Access is restricted.
- Waivers and incident records: 6 years after the Experience, or until any claim is resolved if longer.
- Booking and payment records: 6 years, to meet tax and accounting requirements.
- Recordings: 6 years after the Experience, as they may be needed as evidence. Where you have given written consent for us to use recordings of you, we keep them for as long as that consent remains in place.
- Marketing contact details: until you opt out.
7. Security
We use appropriate technical and organisational measures to protect your personal data, and limit access to health information to those who need it for your safety or to deal with a claim.
8. Your rights
You have the right to access, correct or delete your personal data; to restrict or object to how we use it; to data portability; and to withdraw consent at any time (if you withdraw consent to our use of your health information, we may not be able to let you take part safely). Some rights are limited where we need data to establish or defend legal claims. To exercise any of these rights, email info@blackreel.pro. We will respond within one month.
If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113).
9. Changes
We may update this notice. The current version will always be available on our website, with the date it was last updated.
